How mine sites keep production, equipment and safety records that hold up.
Practical answers to the questions mine managers and safety leads ask before they change how the shift gets documented. No jargon, no compliance claims — just what a usable record needs to contain.
What belongs on a daily mining production report?
A daily production report should answer four questions without anyone having to ask a follow-up: what date and shift the work covers, which site and pit area it came from, what material moved and how much of it, and who prepared the record. Material is usually broken out by category — sand, trash, overburden or ore — because a single combined tonnage number hides the mix that matters to planning.
Strong reports also tie tonnage back to the units that hauled it. Recording loads and tons per haul truck, alongside the operator who ran it, is what makes a monthly total defensible later. When the number is questioned weeks afterward, the answer should be a drill-down to the shift rows, not a rebuilt spreadsheet.
Keep annotations such as week-to-date or month-to-date notes separate from the shift's own tonnage. Mixing a running total into a daily figure is the most common cause of double counting in mine production records.
What is a pre-shift equipment inspection and what should it capture?
A pre-shift inspection is the operator's documented walk-around before a machine is put to work. At minimum it records the site, the specific unit, the operator performing it, the time it happened and the starting hour-meter reading. The hour reading matters more than most crews expect: it is the anchor that makes later utilization, downtime and handoff calculations possible.
The condition outcome should stay simple enough to be honest under time pressure. Active or Not Active, with a reason and a start time when a unit is down, gives a cleaner record than a long severity scale that operators learn to work around. Defects found during the walk-around belong in their own record so they can be tracked to repair rather than buried in a checklist.
Authority matters as much as the form. If any user can flip a tagged-out machine back to running, the inspection record loses its meaning — returning a unit to service should sit with one accountable role.
How is a workplace examination different from an equipment inspection?
An equipment inspection covers a machine. A workplace examination covers ground: the bench, the highwall, the haul road, the stockpile area — the conditions people work in and around. The two are often filed together and should not be, because they answer different questions and are reviewed by different people.
A workplace exam record should name the area examined precisely enough to find again — a zone, a wall, a bench level — note the conditions observed, flag anything requiring action, and identify who examined it and when. Vague area descriptions are the main reason older exam records cannot be used during a review.
How should equipment hours and downtime be tracked across a shift?
Hours should be captured twice: at the start, during the pre-shift inspection, and at the end, on the operator's end-of-day report. Two readings from the same person on the same shift make impossible sequences easy to catch — an ending reading below the start, or a machine that logged more hours than the shift was long.
Handoffs are where hour tracking usually breaks. When a unit passes between operators, the incoming reading should reconcile against the outgoing one rather than starting fresh. Downtime should carry a reason, a source and a start time, with duration calculated continuously rather than typed in, so a machine that stayed down over a weekend reports honestly.
What does it take to follow a safety event through to closure?
A safety record that stops at the report is an unfinished record. The chain runs from the incident or near miss, through an investigation that documents what actually caused it, into corrective actions with an owner and a due date, and finally to evidence that the action was completed and verified.
Each link should reference the one before it. When a corrective action can be read without finding the incident that produced it, the file cannot support a review. The same applies to training and qualification records — they belong next to the people who perform the work, not in a separate binder.
Why does offline capability matter for mine site software?
Pits lose signal. If a form cannot be completed without a connection, crews go back to paper and the record arrives late, incomplete or not at all. Genuine offline support means a previously authorized user can open the app, complete the work, and have it submit itself when signal returns.
The details decide whether it holds up. Drafts should be encrypted on the device, submissions should replay in dependency order, retries must not create duplicate records, and the time the work actually happened must be preserved separately from the time it synced. A record stamped with sync time is the wrong record.
No — not in place. Once a report is submitted it becomes part of the operating history, and quietly overwriting it destroys the reason to trust any other record in the system. Mistakes are real and do need fixing, so the answer is a correction rather than an edit.
A correction should be its own record: what changed, what it changed from, who authorized it, when, and why. The original stays readable, dependent totals recalculate, and anyone reviewing the file later can see both the first version and the corrected one.
